Asset Management

The Ministry of Youth and Sports Assets Management System seek to Developed to Maintain, Record, Store, Monitor, Report, Evaluate, Upgrade (Repair and Service), dispose, and watch an assets life span from the date of purchase or donation to the very end of its usefulness.

The Ministry of Youth and Sports Asset Management system encompasses of Nine units that fundamentally operate effectively and efficiently to enhance decisive decision making against waste, thief and abuse of government asset and above all obtain the greater value for money.

The system also seeks to save money, ease the pressure on the budget and provide more flexibility in the financial decision making which in turn will impact the Ministry positively.

Key Objectives :
 

A. Develop a comprehensive inventory of youth and sports assets managed by the ministry, including details of their location, condition, and current utilization.


B. Implement a robust asset management system to track and monitor the utilization and maintenance of these assets.


C. Ensure regular maintenance and upkeep of the assets to ensure their longevity and safety.


D. Optimize the utilization of assets by promoting their availability to various stakeholders, including Employees, youth organizations, sports clubs, and community groups.


E. Generate revenue through strategic partnerships, sponsorships, and rentals to sustain the operations and maintenance of assets.

Key Components:


1. Asset Inventory: Conduct a thorough assessment of all youth and sports facilities, including identification, documentation, and categorization of assets. This inventory will serve as the foundation for effective asset management.


2. Asset Maintenance: Develop a comprehensive maintenance plan to ensure regular upkeep, repairs, and renovations of assets, including sports facilities, equipment, and infrastructure. Implement preventive maintenance measures to minimize breakdowns and extend the lifespan of assets.


3. Asset Utilization: Establish a system for monitoring and managing the utilization of assets to maximize their availability and promote equitable access.

4. Partnerships and Revenue Generation: Seek strategic partnerships with private entities, sports organizations, corporate sponsors, and funding agencies to generate additional resources for asset management. Explore options for renting out facilities for events, sports tournaments, and training programs to generate revenue.


5. Training and Capacity Building: Provide training and capacity building programs for staff involved in asset management, including maintenance technicians, facility managers, and administrative personnel. Equip them with the necessary skills and knowledge to effectively manage and maintain assets.

6. Asset Tracking: ensures accurate records of an organization’s assets. It helps prevent loss, theft, or misplacement by maintaining visibility over asset locations and movements. Effective tracking streamlines maintenance, audits, and compliance.

7. Asset Acquisition: Proper acquisition involves selecting the right assets for the Ministry needs. It ensures efficient utilization of financial resources and supports organizational goals.

8.Asset Security: Protecting assets from unauthorized access, damage, or theft is crucial. Security measures safeguard sensitive information and maintain MYS continuity.

9. Asset Deprecation: Understanding asset depreciation helps manage financial reporting accurately. It reflects the reduction in value over time due to wear, obsolescence, or other factors.

10.Asset Disposal: Proper disposal ensures responsible handling of assets at the end of their lifecycle. It prevents environmental harm and legal issues.
